Implementation of the ERP system enova365 in many companies of the Opolgraf brand
Overview
The implementation was preceded by a thorough analysis and preparation of the implementation project. This was followed by installation of the enova365 system at Opolgraf in an external data center, implementation of the HR, payroll and accounting module along with fixed assets, full export and import of all data, and in later stages, development of the software, adding more companies, moving the installation to the client’s servers and ongoing maintenance of the system (post-implementation care).
Challenge
The biggest challenge before implementation was to change the system to a more modern one and to adapt the software to current regulations without having to manually add changes. The company also operates multiple subsidiary companies, so the system had to have a multi-company feature.
Solution and implementation process
Opolgraf uses a multi-company model – it allows multiple companies of one capital group to be handled in the same system. This significantly reduces the time of HR and payroll service, the flow of documents is faster and less complicated, and the cost of service is much lower – it is enough to migrate the data of a new entity to the company.
The system was developed as the company grew – more companies were added over time, and even the Foundation. This shows how flexible the enova365 system is.
The implementation of the system was preceded by a pre-implementation analysis and preparation of the implementation project. This was followed by installation of the system, parameterization in accordance with the implementation project, data migration, user training, assistance during startup, further development of the program and the addition of more companies.
Results/Benefits
enova365 program is an excellent tool for streamlining the work of the company and entire HR departments.
Thanks to a common database, the circulation of all documents and information in the company takes place immediately, and the multi-module structure of the system supports and develops the functioning of specific business areas. Ongoing updating and continuous adaptation of the ERP system to all changes in Polish legislation guarantees its stability and the security of processed data.
On the plus side, Opolgraf points out the ease of creating and recalculating payrolls (payments) both in the current month and, for example, going forward (to simulate the payment of a periodic component), as well as the simplicity of making adjustments to sick pay and benefits. An additional advantage is the absence of problems with electronic signatures and sending tax return documents, as well as the ability to download e-credentials directly from PUE. Particularly noteworthy are the accounting automations, which allow reducing the time spent on the most repetitive processes.
System users extremely praise the system’s friendly and simple interface and the ability to build custom views in the application. This allows each user to tailor the system to their requirements. An extremely useful feature is the seamless export of data to Excel or the import of worksheets, e.g. variable components, necessary for calculating payments.
Thanks to the automation of processes (e.g., loading dismissals from PUE), users gain much more time for other HR work and can develop their competencies.
